Short answers about how Janitrak works and how billing works. Prices are in Canadian dollars, before GST/HST.
Can we keep QuickBooks or our accountant?
Yes. Without the Invoicing add-on, Janitrak lists what to bill each month in Ready to bill: contract charges, completed extra work and billable supplies. You download the list to Excel, create the invoices in your accounting software and record each invoice number in Janitrak, so the same work is not billed twice. There is no automatic QuickBooks connection, so payments are tracked in your accounting software.
Can we bring our existing data?
Yes. Import customers, sites, suppliers, employees and items from Excel or CSV. Columns are matched for you, QuickBooks export headings are recognised, and errors are shown before anything is saved. Open invoices, open supplier bills, stock and opening balances can be imported at go-live.
Do janitors need to download an app?
No. The janitor app opens from a link on any phone and can be added to the home screen. It uses location only during shifts.
What is included in Operations?
Scheduling and work orders, the janitor app with punch-in and photos, supervisor inspections and corrections, customer requests and complaints, the customer portal, bids, safety renewals and Ready to bill.
Which features cost extra?
Invoicing and payments , Procurement and inventory (the supplier portal is more), Accounting , which needs Invoicing, HR and Tender & RFP Management , all per month. Complete includes everything, the supplier portal too, for a month.
Who counts as a paid user?
Only office users. Operations includes and Complete , then each a month. Customer, janitor and supplier logins are free.
Is annual billing paid upfront?
Yes. You pay for 12 months at the price of . Annual plans are not refunded if you cancel and stay active until the end of the term.
How do plan changes and cancellation work?
Upgrades apply right away and are charged pro rata. Downgrades apply at renewal. Monthly plans can be cancelled any time and run to the end of the paid month. The billing and cancellation policy has the details.
Does Janitrak run payroll or bank reconciliation?
No. Approved hours export to your payroll provider. Payroll, bank feeds and bank reconciliation stay with your payroll provider and accountant.
What happens to changes I make in the demo?
They are saved in your own browser only, nobody else sees them and no emails are sent. Use Reset demo data on the demo login page to start over.
